Shift Requirements: (days, M-F, flex schedule and telework available)
 
As an Engineering Office Assistant 2, your duties will include, but are not limited to:
 
-Serves as an assistant to the Bridges & Structures Bureau director.  Is the main point of contact and provides support for all supervisors within Bridges & Structures Bureau.  
 
-Assists the Bureau Director & 8 Supervisors/lead workers by gathering data, researching questions &
maintaining spreadsheets to track/audit various items for the bureau.
 
 - Processes/audits invoices to ensure prompt and proper payment to vendors. These typically (but not limited to) include payment vouchers for NHI inspection classes, large equipment inspections, registrations, bridge beams, bridge inspector engineering supplies and Bureau vehicles.  
 
-Assist with budget monitoring for the Bureau. Keeps track/audits of budget expenditures for inspectors.
 
-Lead person in the bureau to work with the Purchasing Bureau and will administer and audit payments to the vendors. These can include such items as: submittal of engineering plans/specs for beams for emergency bridge hit repairs, boom truck inspections & engineer trainings.
 
-Initiate, direct and/or coordinate the office's personnel program (Workday) by preparation of, directing the flow and final review of all personnel work and preparing all employee personnel information for Workday input.
 
-The incumbent will work with staff to submit the required documentation and information for in-state and out of state travel requests. This will include an estimate of the cost of travel, air, personal car mileage estimates, lodging meals and registration needed for the request.

Minimum Qualification Requirements

 

Applicants must meet at least one of the following minimum requirements to qualify for positions in this job classification:

  1. All of the following (a and b):
    1. Graduation from high school, GED, or equivalency; and
    2. A total of five years of full-time experience in highway design, maintenance, construction, or materials; or administrative support in inventory management, training programs, administrative recordkeeping or closely related areas.
  2. A total of five years of education and/or full-time experience (as described in number one), where thirty semester hours of accredited college or university coursework in any field equals one year of full-time experience.
  3. Current, continuous experience in the state executive branch that includes eighteen months of full-time work as an Engineering Office Assistant 1 or three years of full-time work experience in highway design, maintenance, construction, or materials.
